Bundle contacts into reusable audiences so you can target campaigns at them without rebuilding rules every time.
How to create a contact group#
A contact group is a saved audience — a bundle of contacts that you can target a campaign at later. Think of it as the "who" half of any outreach you do. Groups can be static (you hand-pick the members) or dynamic (members are matched by rules and the list updates itself as your contact data changes).
When to use a contact group#
- You'll run more than one campaign against the same audience (e.g. all customers more than 30 days overdue).
- You want a list that stays current as new contacts get imported — a dynamic group does this automatically.
- You want to test a campaign against a small handpicked group before opening it up to a bigger audience.
If you only ever target a one-off list, you can pick contacts directly inside the campaign wizard and skip groups entirely.
1. Open contact groups#
- In the sidebar, click Contacts.
- Click the Contact groups tab.
- Click New group in the top-right corner.
2. Name it and pick the type#
- Give the group a clear, action-oriented name (e.g. Overdue 30+ days, New customers - this week, VIP accounts). You'll see this name in the campaign wizard, so make it self-explanatory.
- Add an optional description for your teammates.
- Pick the type:
- Dynamic — membership is driven by rules; the list updates automatically as contacts and invoices change.
- Static — you choose the exact members; the list only changes when you edit it.
3a. Set rules (dynamic groups)#
If you picked Dynamic, the rule builder appears.
- Click Add condition and pick a field — for example Days overdue, Total outstanding, Tag, Country, or any custom field you've defined.
- Pick an operator (is greater than, equals, contains, is empty, etc.).
- Enter the value(s) to match.
- Add more conditions if needed. Group conditions with AND (all must match) or OR (any must match). You can nest groups to express things like ("days overdue > 30" AND "country = AU") OR "tag = priority".
- The Matching contacts counter on the right updates as you build the rules. Use it to sanity-check that the audience size looks right.
Matching on tags: when you pick the Tag field, start typing and choose from your existing tags in the suggestions dropdown — no need to remember the exact spelling. Tag matching ignores case, so a rule for
VIPalso matches contacts taggedvip.
3b. Add members (static groups)#
If you picked Static:
- Click Add members.
- Search contacts by name, email, phone, or company, and tick the ones you want.
- Click Add to group. You can repeat this as often as you like.
You can mix imports too — click Import CSV to upload a list of email addresses or contact IDs, and matching contacts get added.
4. Save#
Click Save group. You'll land on the group detail page, which shows:
- The current members (live count + scrollable list).
- The rules (for dynamic groups) — editable in place.
- Recent campaigns that have targeted this group.
5. Use it in a campaign#
When you next run the campaign wizard, the Audience step lets you pick a saved group as the targeting source. The campaign will reach every contact who's in the group at launch time (or, for ongoing campaigns, every contact who's in the group when each tick fires).
Editing and deleting#
- Edit — open a group and change its name, description, or rules at any time. For dynamic groups, the membership recalculates immediately.
- Archive — hides the group from the picker without losing its history. Use this for seasonal audiences you're not running right now.
- Delete — permanent. Only available if no active campaign is currently targeting the group. Deleting a group never deletes the underlying contacts.
Tips#
- Name groups by intent, not by rule. Overdue 30+ days is easier for a teammate to use than Filter: days_overdue > 30 AND status = active.
- Smaller groups for testing. Build a Test contacts static group with 2–3 colleagues and target your first campaign at it.
- Re-check the count before launch. If you haven't run a campaign against a group in a while, open it and confirm the matching-contacts count is what you expect — a contact import or rule change can shift the number unexpectedly.

You can also describe the group you want in Co-pilot and let it do the setup:
- "Save these as a group called Disputed accounts" after a search, for a static group.
- "Make a group of everyone more than 60 days overdue, excluding anyone tagged disputed", for a dynamic one.
- "Rename Overdue 30+ to Aged debt and change the rule to 45 days", to edit one you already have.
Nothing is created until you approve it - Co-pilot shows you the group name and the rules it worked out, and waits for you to confirm. Once it exists, the group behaves exactly like one you built by hand, so you can open it and edit it here.
