Set up your branded online payment page, send pay links to your contacts, and understand what your contacts see when they pay.
How to use the payment portal#
The payment portal is your branded online payment page. You send a contact a secure link, they open it, see what they owe, and pay by card — or set up a payment plan — in a few taps. The money lands in your own connected payment account, and the invoice is marked paid automatically.
This guide has two parts:
- Part A — For your team (setting it up and sending links).
- Part B — What your contact sees (so you know exactly what you're sending them).
Part A — For your team#
Before you start#
- You need an admin role with the Integrations and Settings permissions. If you can't see Settings in the sidebar, ask your account admin.
- You'll need access to your business's Stripe account (or be able to create one) — that's where payments are deposited.
1. Connect your payment account (Stripe)#
Payments go straight into your own Stripe account — DebtOps never holds your money.
- In the sidebar, open Settings → Payments.
- Click Connect with Stripe.
- Sign in to Stripe (or create an account) and approve the connection.
- You'll come back to DebtOps and see Stripe account connected.
Once connected, the status box on this page shows whether you're live and which account is linked. You can Disconnect here at any time.
If you'd rather take payment by bank transfer, scroll to Bank details on the same page and enter your account number. Contacts will then see bank-transfer instructions on the portal.
2. Set your payment options#
Still on Settings → Payments, the Payment configuration section controls:
- Payment link expiry — how many days a link stays valid before it expires (default 30, up to 365).
- Allow payment plans on the portal — let contacts split a bill into instalments themselves.
- Default payment plan — the plan template offered automatically (set this up in step 3).
Click Save when you're done.
3. Set up payment plans (optional)#
If you want contacts to be able to pay in instalments:
- Open Settings → Payment plans.
- Click New plan and choose:
- Cadence — weekly, fortnightly, or monthly.
- Number of instalments — between 2 and 24.
- Minimum down payment — how much must be paid up front.
- Invoice size limits — only offer this plan for bills in a certain range.
- Mark one plan as the default if you want it offered automatically.
Plans are interest-free — the original invoice amount is split across the instalments, with nothing added on top. The total a contact pays equals the invoice total.
For the full guide — setting down payments and invoice limits, tracking and managing a contact's plan, and what the contact sees — read How payment plans work.
4. Brand the portal#
Make the page look like yours so contacts trust it.
- Open Settings → Payments and scroll to the Portal branding section.
- Set your logo, primary colour, business name, support email/phone, and an optional welcome message.
- Add your terms and privacy links if you have them.
- A live preview shows how the portal will look. Click Save.
5. Send a payment link#
You have two ways to send a link, depending on whether you want to bill one invoice or everything a contact owes.
Single invoice
- Go to Invoices and open the invoice.
- Click Send payment link to email or text it, or Copy link to send it yourself.
Everything a contact owes (one page, all invoices)
- Go to Contacts and open the contact.
- Click Send payment link. They get one page listing every outstanding invoice and can pay them all in a single charge.
Links can also be sent automatically as a step inside a campaign flow — see How to create a new flow and add a Send payment link action.
6. Track what happens#
- The invoice updates itself the moment a contact pays — status moves to Paid or Partial, and the amount paid is recorded.
- If a contact raises a problem, it appears under Disputes.
- If your accounting integration (e.g. Xero) is connected, recorded payments are pushed across automatically so your books stay in sync.
Good to know#
- Links expire. After the expiry you set (default 30 days), the link stops working. Send a fresh one if needed.
- Paid links close themselves. Once a contact settles up, their link is revoked automatically — no risk of double payment.
- You never see card numbers. Card details are entered directly with Stripe, not stored by DebtOps.
Part B — What your contact sees#
This is the experience on the other end, so you know exactly what you're sending.
Opening the link#
The contact taps the link in your email or text and lands on your branded page — your logo, your colours, your support details. No login, no password.
The summary#
They see:
- Each outstanding invoice, with the amount due and due date.
- A total of everything owed.
- A button to pay and, if you enabled it, an option to set up a payment plan.
Paying#
- They choose to pay the full amount, a custom (partial) amount, or everything at once if they have several invoices.
- They enter their card details on the secure Stripe form.
- They get a confirmation screen with a reference code and the amount paid.
If you offered bank transfer instead, they see your account details and a reference to quote.
Setting up a payment plan#
If plans are enabled:
- The contact picks a plan and reviews the schedule — instalment amount, dates, and the total (which equals the invoice amount; plans are interest-free).
- They agree to the terms and confirm.
- If a down payment is required, they pay it on the spot.
- From then on, each instalment is collected on schedule, and they get reminders before each one is due.
Other things they can do#
- Raise a dispute — if they think a bill is wrong, they can flag it. It shows up under Disputes in your dashboard.
- Request a callback — they can ask your team to ring them.
- Opt out — they can ask to stop being contacted.
Troubleshooting#
| Problem | What to check |
|---|---|
| Contact says the link doesn't work | The link may have expired or the invoice was already paid. Send a fresh link. |
| "Pay" button missing | Your Stripe account isn't connected. Open Settings → Payments and connect it. |
| No payment-plan option on the portal | Turn on Allow payment plans in Settings → Payments and create at least one plan. |
| Payment taken but invoice still shows unpaid | Give it a moment to sync, then refresh. If it persists, check the payment under the invoice's history. |
| Payment not in my accounting system | Confirm your accounting integration (e.g. Xero) is connected under Integrations. |
