Set up payment-plan templates, manage a contact's instalment plan, and see what your contacts experience on the portal.
How payment plans work#
A payment plan lets a contact clear a bill in smaller instalments instead of paying it all at once. Plans are interest-free — the invoice amount is split across the instalments, with nothing added on top. The total your contact pays is exactly what they owed.
This guide has three parts:
- Part 1 — Set up payment plan templates (your team).
- Part 2 — Manage a contact's payment plan (your team).
- Part 3 — What your contact sees (so you know what you're offering them).
Part 1 — Set up payment plan templates#
A template is a reusable set of rules — how often instalments fall due, how many there are, and which bills qualify. You build a template once, and it can be offered on any matching invoice.
Before you start#
- You need an admin role with the Settings permission. If you can't see Settings in the sidebar, ask your account admin.
- To collect a card down payment, your Stripe account must be connected (Settings → Payments). Without it, contacts can still be offered a plan and pay by bank transfer.
1. Turn payment plans on#
- In the sidebar, open Settings → Payments.
- In Payment configuration, switch on Allow payment plans on the portal.
- Pick a Default payment plan — the template offered automatically. (Create it first in the next step, then come back and select it.)
- Click Save.
Payment plans are switched on by default for new accounts, so this may already be done.
2. Create a plan#
- Open Settings → Payment plans.
- Click New plan and fill in:
- Name — what you'll recognise it by, e.g. Standard 3-month plan.
- Cadence — how often instalments fall due: weekly, fortnightly, or monthly.
- Installments — how many payments the bill is split into (between 2 and 24).
- Minimum down payment — how much of the bill must be paid up front, as a percentage. Set 0 if no deposit is required.
- Minimum invoice amount — the smallest bill this plan can be offered on.
- Maximum invoice amount — the largest bill this plan can be offered on. Leave it blank for no upper limit.
- Valid from / Valid until (optional) — only offer this plan during a set date window. Leave blank to keep it always available.
- Set as default — offer this plan automatically. Only one plan can be the default at a time.
- Active — when off, the plan is hidden from contacts but kept for later.
- Click Save.
Invoice size limits decide which plan a bill qualifies for. A contact is only offered plans whose minimum/maximum range covers their invoice amount.
3. Preview before you offer it#
Click the calculate (calculator) icon on a plan to preview a sample breakdown — it shows an example bill split into instalments with their due dates and amounts, so you can sanity-check the schedule.
4. Edit or remove a plan#
- Edit — the pencil icon reopens the plan with its saved values; change anything and Save.
- Active toggle — flip a plan off to stop offering it without deleting it.
- Delete — the trash icon removes the template. Plans already running on a contact's invoice are not affected.
Plans are interest-free. The instalments always add up to the original invoice amount — there's no interest or finance charge.
Part 2 — Manage a contact's payment plan#
Once a contact is on a plan, you can track and manage it.
Open a plan#
- Open Payment plans in the sidebar.
- You'll see every contact's plan with its status. Use the status filter (All / Active / Completed / Defaulted / Cancelled) to narrow the list.
- Click a plan to open its detail page.
Read the schedule#
The detail page shows:
- A status badge — Active, Completed, Defaulted, or Cancelled.
- Summary cards — Total amount, Per installment, Progress (how many instalments are paid), and the Next payment date.
- The instalment schedule — each instalment with its number, due date, amount, and status:
- Paid — the instalment is fully covered.
- Upcoming — not yet due.
- Overdue — past its due date and not fully paid.
How instalments get marked paid#
- Automatically — when a payment comes in for the exact instalment amount, it's matched and the instalment is marked Paid without you doing anything.
- Manually — when a payment needs review (for example a lump sum or an amount that doesn't line up cleanly), you confirm which instalment it covers, and the schedule updates.
Reminders go out automatically#
Your contact is reminded about each instalment on a set rhythm — you don't need to chase them:
- 3 days before the instalment is due.
- On the due date.
- 1 day after, if it hasn't been paid.
- 3+ days after, if it's still outstanding.
When a payment is missed#
If an instalment passes its due date unpaid, it turns Overdue on the schedule and the contact gets a missed-payment notice. The plan stays active — it isn't cancelled or marked defaulted automatically. You decide what to do next:
- Cancel plan — stops the plan (you're asked to confirm).
- Mark as defaulted — flags the plan as broken, typically after repeated misses (you're asked to confirm).
Part 3 — What your contact sees#
Your contact never logs in. They open the secure pay link you send and do everything from there.
- Open the link. They see your branding, the invoice, and what they owe.
- Choose a plan. On the invoice they tap View payment plans to see the instalment option.
- Review the schedule. They see each instalment, its date, and its amount — adding up to the full invoice, interest-free.
- Agree and accept. They tick I agree to the plan terms, then tap Accept plan.
- Pay the down payment (if your plan requires one). They enter their card details and pay the deposit. The remaining instalments follow the schedule.
- Confirmation. They see the plan confirmed, with the first instalment's date and amount.
Card payments need your Stripe account connected. If you've entered bank details instead (Settings → Payments), contacts see bank-transfer instructions for their instalments.
