What it is#
A contact is a person or company you are collecting from. Each contact holds their name, company, email, phone and address, any tags you have given them, and their contact preferences. Invoices attach to contacts, so a contact record is where you see what someone owes and everything you have sent them.
Why use it#
- Every campaign needs an audience, and audiences are built from contacts.
- One place to see a person's balance, invoice history, notes, and past messages.
- Contact preferences are respected automatically - mark someone do-not-call and no campaign will ring them.
- Tags let you slice your list without rebuilding filters each time.
Who uses it#
Anyone on your team with access to the portal. Contacts imported from Xero, QuickBooks or MYOB appear automatically once you connect your accounting software, so you may never need to add one by hand.
How it works for you#
Find a contact. Click Contacts in the sidebar. Search by name, email, phone or company, or use filters to narrow by tag, balance or status. Lists are paged - use the page controls rather than assuming the first page is everything.
Add one by hand. Click New contact, fill in the details, and save. Only a name is required; everything else can be added later.
Import a list. Click Import, upload your CSV, and map your columns to DebtOps fields. You see a preview of what will be created before anything is saved, so you can fix a bad mapping without undoing an import.
Tag people. Open a contact and add tags, or select several from the list and tag them in one action. Tags are free text - agree on a convention with your team before you start.
Set contact preferences. On a contact, switch off any channel they have asked you not to use: calls, SMS, or email. Cease all stops every channel at once. Campaigns check these before every send.
Send something one-off. From a contact you can send a payment link or a single message without building a campaign.
Remove someone. Deleting a contact hides them from your lists but keeps the record, so a mistake can be undone. Ask support if you need one restored.
Export. Filter the list to what you want, then click Export to download it as a CSV.
Troubleshooting#
"You have reached your contact limit." Your plan caps how many contacts you can hold. Delete contacts you no longer need, or talk to us about a larger plan.
An import says a contact already exists. Contacts that came from your accounting software are matched on their ID there. Edit the existing contact rather than importing a second copy.
A contact is not receiving messages. Check their contact preferences first - a do-not-contact switch silently excludes them from campaigns. Then check the contact has an address for that channel at all.
A contact I deleted is still in a campaign report. Reports cover what happened at the time. Deleting a contact does not rewrite history.
My contact list looks short. The list is paged. Check the total count at the top rather than counting rows on screen.
