See what is owed, take payments, offer payment plans, and import or export invoices
What it is#
An invoice is a single debt: what one contact owes, in what currency, by when. DebtOps keeps a copy of your invoices so it knows who is overdue and by how much. Your accounting software stays the master record - DebtOps reads from it and, when you take a payment here, writes the payment back to it.
Why use it#
- One list of everything outstanding, across all your customers.
- Aging at a glance: what is 30, 60, 90 or 120+ days overdue.
- Campaigns target real balances, so nobody gets chased for an invoice they have paid.
- Send a payment link for a specific invoice, or set up a payment plan on it.
Who uses it#
Anyone on your team with portal access. If you have connected Xero, QuickBooks or MYOB, invoices appear here on their own and stay up to date.
How it works for you#
See what is owed. Click Invoices in the sidebar. Filter by status, due date, contact or amount. The summary at the top covers everything your filter matches, not just the rows on screen.
Open one. Click an invoice to see its lines, payments recorded against it, and its current balance. Print produces a clean copy to send or file.
See one contact's debt. Open the contact instead - their invoice history and total outstanding are on their record.
Take a payment. Click Send payment link to email or text a link that lets the contact pay online. The payment is recorded against the invoice and written back to your accounting software.
Offer a payment plan. On an invoice, set up instalments. While the plan runs the invoice reflects the plan; when the plan finishes or is cancelled, the invoice returns to its original total.
Import a list. Not connected to accounting software yet? Click Import, upload a CSV, and map your columns. You see a preview before anything is saved.
Export. Filter to what you want, then click Export for a CSV.
Troubleshooting#
An invoice shows a balance the customer has already paid. The payment was probably recorded in your accounting software after the last sync. Run a sync from the integration page, then check again.
Totals look wrong when I add them up. Amounts are shown in each invoice's own currency, and DebtOps never adds different currencies together. Filter to one currency to get a total you can add.
An invoice is missing. Draft invoices are not collected on. Check the status in your accounting software, and check that the invoice is within the date range your sync covers.
Someone was chased for a paid invoice. Check when the payment reached DebtOps. Campaigns use the balance at the moment they run, so a payment recorded after that send was not visible to it.
The list looks shorter than expected. The list is paged - read the total at the top rather than counting rows.
